Senior Administrative Assistant - Remote / Telecommute

Job Description:

  • The Senior Administrative Assistant supports the administration and processing of provincial child care grant funding programs.
  • This role reviews and processes claims, determines eligibility, resolves payment issues, and provides customer service support to child care operators and internal departments.
  • The position requires strong analytical skills, attention to detail, and the ability to manage complex payment and claim inquiries accurately.
Requirement/Must Have:
  • High School Diploma or GED.
  • Minimum 1 year of experience providing customer service, technical troubleshooting, and problem resolution.
  • Minimum 1 year of experience using Microsoft Outlook for email communication, task management, and calendar tracking.
  • Minimum 1 year of experience using basic Excel skills in a professional setting.
Experience:
  • Experience working with childcare funding, licensing, or subsidy programs preferred.
  • Experience working in childcare grant funding programs preferred.
  • Experience working with Childcare Licensing Portal and Child Care Information System preferred.
Responsibilities:
  • Process provincial grant funding for licensed child care programs.
  • Assess, recommend, and determine eligibility for grant funding for Early Childhood Educators.
  • Review, assess, and approve or deny claim and invoice payments.
  • Process transactions related to child care program adjustments, recoveries, and payment set-offs.
  • Identify and resolve system-related claim and invoice submission issues.
  • Review and process internal adjustments to correct claim inaccuracies.
  • Respond to claims, payment, claim advance, and child registration inquiries from operators and internal departments.
  • Analyze complex claim submission and payment issues and assist operators with resolution steps.
  • Escalate anomalies and unusual claim or payment transactions to the supervisor.
  • Remain current on changes to child care grant programs, eligibility requirements, and policies.
Should Have:
  • Relevant post-secondary education in Office Administration, including degrees, diplomas, or certificates.
