Maintain suspense files for staff members. Maintain filing system and ensure security of confidential files. Open, stamp, review and distribute all incoming mail and ensure proper routing of confidential material. Prepare and transmit outgoing comm-net messages. Maintain and file daily administrative filing. Ensure proper retention of reports/files and maintain file/log of locally produced forms. Process enforcement documents, reports and enter necessary data into required programs as needed. Assist allied agencies with questions arising from documents created by the California Highway Patrol. Process non-uniform and Commander’s time sheets. Reconcile Officers time sheets CHP 415, Daily Field Records, with screen printouts. Prepare all overtime reports including work period overtime reconciliation reports, special project, maintenance zone enhanced enforcement programs and construction zone enhanced enforcement programs. Purchase necessary office supplies and prepare quarterly supply orders, purchase requisitions, and X-numbers service orders. Verify and process invoices for payment. Process PCard paperwork, serve as petty cash custodian, and ensure that departmental purchasing procedures are followed. Maintain area budget per Northern Division guidelines. Maintain personnel files for all employees, including secondary and medical files. Assist with complaints and adverse actions. Process all health, dental and other personnel forms. Process all reports involving industrial injuries and departmental vehicle accidents. Process travel advance requests and travel claims. Distribute salary warrants. Maintain accident and arrest logs. Process CHP 215 (Citation) and CHP 281 (Correctable Citation) forms and all documents relating to same. Assist courts with problems and citations. Plan, organize, direct and review the work of one Office Assistant. Monitor the Office Assistant’s performance levels and prepare annual evaluations. Assist in hiring and training/cross training clerical employees. Operate and maintain office machines. Arrange for necessary office machine repairs, prepare X-numbers for service required, and order supplies. Answer and route phone calls, and assist public at front counter, including selling reports to the public as permitted by law and policy. Cover and additional tasks performed by the Office Assistant in their absence. Process CHP 202 (DUI Report) and CHP 216 (Arrest Report) forms and all documents relating to same, including data entry into MIS (Management Information System) and personal computer. Process arrest reports and fax reports to the Department of Motor Vehicles and other agencies as needed. Prepare reimbursable service agreements and reimbursable billing memorandum. Track amount spent on evidence tow contracts.
